Privacy notice
How your personal information is used when a mediation service manages your case on this platform. Last reviewed 19 August 2026.
Who is responsible for your information
The mediation service handling your case decides how and why your information is used — in data-protection terms it is the controller. Resolutr is the software platform the service uses to manage its work, acting on the service's instructions as its processor. Questions about your information, or requests about it, go to your mediation service directly.
What is recorded and why
Mediation involves personal and sometimes sensitive information: your contact details, details of your dispute, records of meetings and their outcomes, documents you provide, and — because mediators must consider everyone's safety — safeguarding information, which can include health, welfare and domestic-abuse concerns. Where a case involves children, their details are recorded too. If your case is publicly funded, the information the funding body requires (including financial details) is also recorded.
This information is used only to deliver the mediation service, to meet legal and regulatory duties (including safeguarding and public-funding administration), and to run the service's own practice. It is never used for marketing.
Who sees it
Your mediation service's authorised staff, on a need-to-know basis enforced by the platform's permissions. The other party in your case never sees your private information — each party's records are kept separate, and private safeguarding and mediator notes are never shown in the client portal. Information leaves the service only where the law requires or permits it: for example, to the public-funding agency when your case is publicly funded, or to safeguarding authorities where someone is at risk.
Some of the companies the platform uses process information in the United States: Postmark, which delivers the emails the platform sends (such as account invitations), under contractual safeguards; Stripe, which processes card payments made online (in the United States and the European Economic Area); and HubSpot, only if your mediation service connects it to keep its contact records in step, and then contact details only (in the United States and the European Union). Every company the platform uses is listed on the sub-processors page.
How long it is kept
Case records are kept for seven years after your case closes. Where a case involves children, records are kept until the youngest child involved turns 25. Financial and public-funding records follow statutory periods (six years plus the current year, or the funding body's audit window if longer). Enquiries that never become a case are removed after twelve months.
Cookies
This software sets only the small files (cookies) below, each for something you are doing on the site. None is used for advertising or for analytics, and none is shared with another website.

Paying online. Where a mediation service lets you pay an invoice online, the card form on the payment page is provided by Stripe, which sets its own cookies there to process the payment and to prevent fraud. Stripe's cookie policy explains them.
Your rights
You can ask your mediation service for a copy of your information, ask for mistakes to be corrected, ask for it to be deleted, or ask for its use to be restricted while a concern is resolved. Some records must be kept even when deletion is requested — for example safeguarding records, records needed for legal claims, and the service's tamper-evident activity log — and the service will explain what applies. Requests are answered within one month.
If you are unhappy with how your information has been handled, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113) — though your mediation service would welcome the chance to resolve it first.
